Registration for Live Participation

During the welcome reception and throughout the conference, attendees can register and obtain their badges at the reception desk. The reception desk will be located on the ground floor of the Centre Mont-Royale Conference Center. The staff at the reception desk will be available to provide further assistance if needed. The reception desk will be open during the conference hours

Lunch during the meeting

The Centre Mont Royal will set up a commissary outside Symposia Hall near the Terrasse each day of the main conference during the lunch break serving salads and savory sandwiches for $10-$15 + taxes. We recommend bringing a water bottle to fill at the conference to avoid single use plastics.

Official language and time zone

The official language of the conference is English, which should be used for all presentations, posters and open discussions. The conference program follows the Eastern Daylight Time (EDT) zone.

Information for presenters

– PLENARY TALKS 45 min. (40 min. presentation + 5 min. discussion)
– KEYNOTE TALKS 30 min. (25 min. presentation + 5 min. discussion)
– STANDARD TALKS 15 min. (12 min. presentation + 3 min. discussion)

The oral sessions will occur fully in-person. The oral sessions will be held at the Centre Mont-Royale Conference Center. All speakers should be present at the session at least 15 minutes before its starting time. They have to inform the session Chair of their presence.

Presenters are requested to bring the slides (.pptx or .pdf format only) on a USB device and to copy them before the session on the laptop available in the session room. Please note that live speakers cannot use their computers.

The poster sessions will be fully in-person at the Centre Mont-Royale Conference Center. Poster boards will be provided, which have dimensions of 4 feet high by 8 feet wide. The maximum poster size should not exceed 3.75 feet high by 7.5 feet wide, in a landscape orientation. Push pins will be provided, but velcro pads will work with the provided poster boards. 

Information for Session Chairs

Session chairs should arrive in their assigned rooms ten minutes before the start of their session and check the attendance of all speakers. There will be assistance for managing the session. If a speaker is missing, please communicate this to the student assistant in the room. Please do not fill in the time of any missing talk by moving forward the next scheduled talk in the session. It is imperative that all talks be given in their pre-assigned time slots – no shuffling!

Policy on paper presentation for all participants

The policy of the IRMMW-THz Society is that at least one of the authors of an accepted paper must be present at the conference to present said paper (orally or at a poster session). If the author is not present at the assigned session where the paper is being presented, the paper will be removed from the final digest of manuscripts that is archived on IEEEXplore. This policy will be strictly enforced.

Photography/videography policy

Please note that photographs and footage by a professional photographer will be taken throughout the IRMMW-THz 2023. Attendees cannot record or photograph in-person presentations or posters. All the presentations will be available at the event platform. Please contact the event organiser if you have any concerns or if you wish to be exempted from this activity.
